Notes of a meeting of Scouters held at 8.00pm on Monday 7th June 1971 at P.H.Q.

PURPOSE OF EVENT
Mr Caw recalled the instructions of the Chief Commissioner for a National Event to be held in Rhodesia each year and explained that although the task for 1972 should have fallen to either Manicaland or Midlands, both those Provinces felt unable to mount a major undertaking at this stage.
Matabeleland therefore offered to stage an event in 1972 aimed mainly at Patrol Leaders. This offer was accepted by the Chief Commissioner.

FORMATION OF COMMITTEE:

At the suggestion of Mr Carlisle committee members are to be called directors in preference to managers or fancy old fashioned scouting names. The following is the organising committee:-

Director of Projects and Programmes: Mr J.F.Carlisle
Director of Transport: Mr H.Felgate
Director of Catering and Food Supplies: Mr & Mrs E. Fulton
Director of equipment and supplies: Mr D.Cunningham
Director of Public Relations and Fund Raising: Mr D. Anderson
Director : Co-Ordination and Organisation: Mr G.Caw
Editor: Camp Editor : Mr N. Scott
Financial Controller: Mr J. Brewis
Directors are at liberty to invite people, both Scouters and Lay people, to assist them.

Mr D.Fyfe will be of general assistance to the Committee in any problem in which it is felt the Provincial Commissioner will be able to assist.

Mr M.George will serve on the Committee in his capacity of Assistant Provincial Commissioner.

PROGRAMME

Mr Caw suggested a programme of skilled instruction followed by an adventure activity spread over a wide area of Matopos, lasting about three days. The whole event to be finalised with a formal dinner to be held in Bulawayo.

Mr Carlisle emphasised that for the event to be successful, basic instruction will have to be given in such subjects as mapping, First Aid, camp hygiene, etc. Mr Fyfe however, appealed for an event of special attraction to boys and to the public eye. He asked that we should accept boys with the skills they already possess and not limit the activity to scouts who are heading towards the two higher awards. Mr Scott suggested that the event shouls commence with a two day hike which would reveal the short commings of the participating scouts who would then be offered required instruction before comencing the adventure activity. Mr Fyfe suggested holding an activity completely different to that which had been suggested and recalled an expedition mounted by scouts in 1964 to discover the Lost City Of The Kalahari. However, after discussion, it was agreed:-

a) That Mr Carlisle would plan a programme for approximately 100boys covering training, expedition preperation and adventure for 1972.

b) that Mr Fyfe would investigate an expedition for 1973 to be attended by 25 boys selected from the participants of the 1972 event.
(Note : the 1973 expedition to be a followup of the 1972 event)

a) 1st - 12th September 1972
b) April/May 1973

AGES:
14 years plus as at 1st Septemeber 1972 or, if under 14 years, hold the Advanced Scout Standard.

ACTION TO BE TAKEN NOW:-

1. Mr Carlisle to plan the program for 1972.
2. Mr Fyfe to investigate an expedition for 1973
3. Mr Cunningham to prepare details of equipment required by boys and for communal cooking for 1972.
4. Mr Felgate to investigate transport availability including buses, trucks and landrovers for 1972.
5. Mr Scott to plan newspaper format.
6. Mr & Mrs Fulton to investigate costs for up to 100 people for 1972.
7. Mr Anderson to investigate fund raising ventures, contact service clubs and investigate formal dinner arrangements.
8. Mr Fyfe to obtain details of rail fares from centers to Bulawayo.
9. Mr Caw to proceed with initial publicity.
